Rules for Artists

  1. No photography in the art room, except for the purpose of archiving your own work.

  2. All entries must be original works by the artist. Artists may borrow poses, characters, or scenes, but MAY NOT submit direct copies of another artist, fan or professional. Pieces violating this rule will be removed from the Art Show.

  3. Only one (1) print of any given work may be for sale in the art room. To sell multiple prints you must have a table in the Dealers' Room or Fan Market. You may not sell artwork from your hotel room.

  4. Space is on a first come, first serve basis. The deadline for submitting work for the art show is all day Friday and the first 3 hours of art show operation on Saturday. If there is still space in the show after these hours, artists may continue to put up work in the show. Artists may submit no more than five (5) pieces.

  5. Artists must hang their own work (except for proxies, covered below). Hanging equipment will be provided (peg hooks and bulldog clips). ALL 2D artwork MUST be matted and/or framed for hanging. The Art Show will NOT accept artwork that is not matted or framed. There will be NO exceptions.

  6. If you are displaying 3D art, please be advised that the art show does not provide display cases.

  7. If your matted artwork is larger than 18”x24” you MUST contact the Art Show Director before the convention. If no arrangement has been made with the Art Show Director, art larger than 18"x24" will only be accepted within the first three hours of Art Show operation on Saturday.

  8. Artists may display art for sale or for display only. Art for sale must be marked with all necessary information (media, title, artist, starting bid, quick sale) on each piece's bid tag and the artist's control sheet. "Not For Sale" art will be provided their own tags to indicate they are not for sale.

  9. If an agent is checking in, displaying, and checking out your artwork, he or she MUST have a letter of permission from the artist including artist's name, signature, date, and agent's name. At the convention, this document MUST be signed by your agent and witnessed by a member of the Art Show staff. Agents must provide valid ID upon request.

  10. If you must check out before closing time on Sunday, you MUST make arrangements with the art show staff as far in advance as possible.

  11. Space in the Art Show is a $6.00 (USD) per piece. Yaoi-Con collects no commissions on sales and there are no other fees.

  12. Checks, cashiers checks or money orders should be made out to: Biseinen-ya, LLC.

  13. Payment for sold artwork will be made to artists at the close of Art Show business hours, which will be posted, ONLY when all art sold has been paid for and retrieved by the buyer. Artists will not be paid until sold art has been paid for. Artists will be paid via method of the buyers choosing, be that personal check or cash, if you have any requirements for payment method, you MUST specify on your Art Show space Control Form. (ie, payment by cash only or money order)

  14. Any problems arising from bounced personal checks written by a bidder and made out to the seller must be settled between the seller and bidder. Yaoi-Con will not participate in any dispute resolution.

RULES FOR SUBMISSION

At Con, or via Agent:

  1. All Artists MUST complete a control sheet and all necessary bid tags. All artwork must include artist's name and contact information. If your work is being handled by an agent, the agent must sign and date a printed copy of the Art Show Rules AT the convention, after check in, and in the presence of an Art Show staffer.

  2. Your artist control number will be assigned by the Art Show staff at the time of check in.

  3. Clearly print all your information on your control sheets and bid tags.

  4. Print your legal name on the “Make Check Payable To:” line of the control sheet.

  5. Minimum bids must be in whole dollar amounts. Do not set minimum bids below $5.00.

  6. Artists/Agents must hang their work and then check in with art show staff to verify all information filled out on the control sheet is correct. All artwork must contain artist's name and contact information.

  7. Artists/Agents MUST check-out with Art Room staff at the end of the convention. Art not retrieved by the closing of the Art Show on Sunday without prior arrangements made with the Art Show staff will not be returned and will become property of Yaoi-Con.

Mail-In Artwork

Yaoi-Con no longer accepts art on a mail-in basis. The art show and auction are only available to attendees. If the attendee in question cannot be present at the end of the art show or auction they must designate a proxy to pick up the piece or the money or it will be considered abandoned. If the artist cannot attend but still wishes to participate they must designate a proxy who will drop off their artwork at the beginning of the convention and pick up the artwork or money at the end of the art show or auction.

Yaoi-Con apologizes for this change but the convention can no longer logistically support the mail-in function.

Art Show Sales

  1. Buyers may bid on any piece (aside from those marked Not For Sale (NFS) or already sold by quick sale) until the official close of the Art Show room on Sunday. Three (3) bids will send a piece to live auction. Any piece with fewer than three (3) bids will be sold for the highest bid price.

  2. All pieces for sale must be marked with bidding information and/or Quick Sale prices. Items purchased at Quick Sale price must remain in the show until the end of the convention unless the buyer must leave early and has made arrangements with the Art Show Director.

  3. Items purchased at Quick Sale prices will be marked as sold. No bids may be made on items marked as sold. Conversely, any piece with bids is not available for Quick Sale.

  4. Artwork is not to be removed from the Art Show until the close of the art show on the Sunday of the convention, unless prior arrangements have been made with the Art Show Director.

  5. Pieces won at live auction must be paid for and claimed immediately after bidding has concluded for each piece.

  6. Pieces going to auction but receiving no additional bids will be considered sold to the highest silent auction bidder.

  7. A list of winners in the silent auction will be posted on the Art Room door immediately at the close of the Art Room on Sunday.

  8. Winning bidders must pay and collect their art during pick up hours on Sunday.

  9. Buyers picking up purchased artwork must check in with art room staff when paying. Payment must be rendered at time of pick up.

  10. Checks, cashier's checks, and/or money orders should be made out to the artist's legal name, unless cash only is specified. Payments should NOT be made out to Yaoi-Con, Yaoi-Con Art Show, or Biseinen-ya, LLC. CREDIT CARD PAYMENTS WILL NOT BE ACCEPTED.

RULES OF BIDDING

  1. Placing a bid on art is a contract. The bidder agrees to pay the required amount of their final highest bid if declared the winner of the piece. Bid retractions are NOT allowed.

  2. Winners of the Silent Auction must pay and collect their purchased art work during the Art Show pick up hours on Sunday. Pieces bid on but not collected by the close of the Art Show on Sunday will be returned to the artist.

  3. Winners of the Live Auction must pay and collect their purchased artwork upon conclusion of the bidding for that piece.

  4. Forms of payments accepted for Quick Sale, Silent Auction, and Live Auction include cash, cashier's checks, checks, and money orders made out to the artist's legal name. Payment should not be made out to YaoiCon Art Show, YaoiCon, or Biseinen-ya, LLC. CREDIT CARD PAYMENTS WILL NOT BE ACCEPTED.

RULES OF PUBLIC CONDUCT FOR VISITORS TO ART SHOW

  1. NO SMOKING: It's a fire code violation.

  2. NO PHOTOGRAPHY: None, nada, zip. Videotaping also falls under this prohibition. If you have brought in a camera and are seen using it, you will be asked to leave the Art Show. ONLY PROFFESSIONAL MEDIA WITH WRITTEN PERMISSION FROM THE CONVENTION CHAIRMAN AND ARTISTS ARCHIVING THEIR OWN WORK ARE EXEMPT.

  3. DO NOT TOUCH ANY ARTWORK: Only if the artist has made a note or sign allowing and/or inviting you to touch the artwork and has made the Art Show Director aware of this permission can you do so.

  4. NO FOOD OR DRINK TO BE BROUGHT INTO ART SHOW: If you should have any food or drink with you, finish consuming it outside the Art Show before entering. You will not be permitted into the Art Show if you do not comply. The only exception to this rule is food and drink supplied by the Art Show itself for parties in the Art Show.
